4 Reasons to Require Event Insurance for EVERY Event

Do I Really Need to Require Event Insurance If It's a Small Event With No Alcohol?

A lot of venue owners shy away from the conversation about event insurance or only think it is necessary for weddings, large festivals, or events where alcohol is served.  But what about a small baby shower, graduation party, birthday celebration, company picnic, retirement dinner, or family reunion?  If there's no alcohol, and only 30 or 40 guests, do you still need to require event insurance?  The successful venues will tell you unequivocally....yes!! They require event insurance in absolutely every instance.

1) Size Doesn't Eliminate Risk

It's easy to assume smaller events are safer.  Common sense suggests more people = more risk.  And statistically that's true.  But accidents (and the ensuing claims) are not restricted to events with hundreds of guests

Some of the most common claims happen during relatively small gatherings:

  • A guest slips on a wet floor.
  • A guest trips over extension cords running across a walkway.
  • A guest is injured when a decorative arch or backdrop falls over.
  • A guest backs into and breaks an expensive decorative fountain while taking photos.
  • A guest is injured while participating in organized games or activities.
  • Furniture or flooring is accidentally damaged.
  • A guest accidentally starts a small fire with sparklers or candles, damaging part of the venue

The size of the event doesn't determine whether someone can make a claim.

2) Most Claims Have Nothing to Do With Alcohol

Alcohol can certainly increase some risks, but many liability claims occur at completely dry events.  Removing the alcohol element doesn't remove liability.  We see all sorts of claims, and very seldom is alcohol the primary contributing factor.

3) Event Insurance Helps Protect Everyone

Requiring event insurance isn't about anticipating problems.  It's about making sure everyone is protected if something unexpected happens.

Event insurance policies are meant to:

  • Protect the event organizer from financial loss.
  • Protect the venue if it's named in a lawsuit or property damage occurs
  • Simplify the claims process.
  • Reduce disputes between guests, organizers, and the venue.

4) Event Insurance Is Incredibly Affordable

One thing we hear from venues is a concern that requiring insurance may discourage potential bookings or intimidate event organizers.  Fortunately, event liability policies are extremely affordable(about $100 for most small events), especially compared to the overall cost of hosting an event.  It's a relatively small expense that provides significant financial protection for both themselves and the venue.

Bottom Line. Requiring Event Insurance On All Creates Consistency

Small events can still result in significant claims.  Whether it's a birthday party with 20 guests or a retirement celebration with 75, accidents don't check the guest list before they happen.  The most successful venues require insurance for every event and every vendor that steps foot on their property, regardless of:

  • Guest count
  • Alcohol service
  • Event type
  • Time of year

Having one consistent policy eliminates confusion, prevents exceptions, and helps staff enforce requirements fairly.  It also avoids uncomfortable conversations about why one customer was required to purchase insurance while another wasn't.  Requiring event insurance demonstrates professionalism, responsible risk management, and a commitment to protecting both your customers and your business.  Requiring event insurance helps protect your venue, your customers, and your reputation....making it one of the simplest and smartest risk management practices any venue can adopt.
